6. How Information Is Collected

Where reasonable and practicable, information is collected directly from the individual to whom it relates.

Information may be collected through:

  • intake and consent forms;

  • conversations during appointments;

  • psychological assessments and questionnaires;

  • telephone calls;

  • email and SMS communications;

  • website enquiry or contact forms;

  • communication with administrative staff;

  • referrals;

  • correspondence and reports from health professionals;

  • parents, guardians and caregivers;

  • schools and educational professionals;

  • support workers and other service providers;

  • government, compensation or funding bodies where relevant; and

8. Consent

Where consent is required for the collection, use or disclosure of personal or health information, consent may be express or implied depending upon the circumstances and applicable law.

Clients will ordinarily be provided with information relevant to consent before psychological services commence.

Consent is an ongoing process and may be revisited throughout psychological services where circumstances change.

​

Where Sisu & Sage Psychology relies upon consent for a particular collection, use or disclosure of information, that consent may generally be withdrawn.

Withdrawal of consent will not affect information already lawfully collected, used or disclosed prior to withdrawal.

10. Confidentiality

Information disclosed during psychological services is treated as confidential.

  • for a directly related secondary purpose where this would reasonably be expected;

  • with the individual's consent;

  • where disclosure is necessary for the provision or coordination of healthcare and is permitted by law;

Examples may include disclosure:

  • to a GP, paediatrician, psychiatrist or other treating professional with appropriate consent;

  • to parents, guardians, caregivers or support persons where appropriate and lawful;

  • to a funding, compensation or insurance body where authorised;

  • pursuant to a valid subpoena, court order or other lawful requirement;

  • where mandatory reporting obligations apply;

Where information is disclosed, reasonable steps are taken to limit disclosure to information relevant to the purpose for which it is being disclosed.

 

11. Professional Consultation and Supervision

Psychologists may participate in professional supervision, peer consultation and case consultation as part of maintaining safe, ethical and high-quality professional practice and meeting applicable professional requirements.

Where client information is discussed for these purposes, reasonable steps are taken to protect confidentiality and minimise identifying information where practicable.

Any psychologist receiving information through professional supervision or consultation is also subject to professional confidentiality and privacy obligations.

12. Psychological Assessment Information

Certain psychological testing materials are subject to professional, contractual, intellectual-property and test-security restrictions.

Identifiable clinical information will only be entered into or processed through AI-enabled systems where Sisu & Sage Psychology considers appropriate privacy and security safeguards to be in place and where the use is consistent with applicable legal and professional requirements.

Sisu & Sage Psychology does not knowingly permit identifiable client information to be used to train publicly available or external general-purpose AI models.

​

AI systems are not authorised to independently make clinical decisions about clients.

Where required by law or professional standards, additional information or consent regarding particular technology may be provided to clients.

15. Electronic Communication

Sisu & Sage Psychology may communicate with clients and other authorised persons by telephone, email, SMS, telehealth platforms and other electronic systems.

​

Reasonable steps are taken to maintain the security and confidentiality of electronic communications. However, electronic communications carry inherent privacy and security risks and absolute security cannot be guaranteed.

Email and SMS are primarily intended for administrative communication unless otherwise agreed.

Clients are encouraged not to send highly sensitive clinical information through ordinary email or SMS where a more secure means of communication is available.

​

Electronic messages are not continuously monitored and should not be used for emergencies or urgent clinical assistance.

16. Telehealth

Where psychological services are provided by telehealth, reasonable steps are taken to use appropriate technology and protect privacy and confidentiality.

Clients are responsible for considering the privacy of their own location and device when participating in telehealth.

​

Telehealth may involve additional privacy, technological and clinical considerations. These may be discussed as part of the consent process where relevant.

17. Storage and Security of Information

Personal and health information may be held electronically and, where applicable, in physical form.

Sisu & Sage Psychology takes reasonable steps to protect information against misuse, interference, loss, unauthorised access, modification and disclosure.

ANIMALS 

Animals may be present at Sisu & Sage Psychology and, where appropriate, may also be incorporated into psychological services as part of an animal-assisted approach.

Animals at the practice may include dogs, cats, guinea pigs, rabbits or other suitable companion animals. The animals present at the practice may change from time to time.

Choice and Consent

Interaction with animals is always optional.

Clients are not required to interact with an animal in order to access psychological services at Sisu & Sage Psychology. An animal may be actively involved in a session, quietly present in the therapeutic environment, or have no involvement in a client's appointment.

Where an animal is proposed to be deliberately incorporated into psychological treatment, the psychologist will consider the client's preferences, therapeutic needs and circumstances. The nature and purpose of the animal's involvement will be discussed where appropriate.

Consent to animal involvement may be withdrawn at any time. A client may also request that animals not be present during their appointment.

​

Parents and caregivers are encouraged to advise the practice before an appointment if a child has allergies, asthma, animal-related fears, phobias, sensory sensitivities, cultural considerations or any other concern relevant to the presence of animals.

Allergies, Phobias and Individual Needs

Sisu & Sage Psychology recognises that animals are not appropriate or comfortable for everyone.

Clients and accompanying persons are expected to follow reasonable instructions provided by the psychologist or practice staff regarding interaction with animals.

Children will be appropriately supervised when interacting with animals.

Animal Welfare

The welfare of animals involved with Sisu & Sage Psychology is an important consideration.

Animals are not required to participate in interactions and may choose to move away, rest or otherwise disengage.

​

An interaction may be modified or ended if the psychologist considers that continuing is not appropriate for the client or the animal.

​

Animals will be provided with appropriate opportunities for rest, access to water, toileting and withdrawal from client interaction.

Sisu & Sage Psychology reserves the right to remove an animal from a session or decline animal involvement where this is considered necessary for the animal's welfare, client safety or appropriate clinical care.

Hygiene and Infection Control

Reasonable hygiene and infection-control measures are maintained in relation to animals at the practice.

Clients may be encouraged to wash or sanitise their hands following direct animal contact where appropriate.

Animal involvement may be modified or avoided where there is an identified health or infection-control concern.

Clients should advise their psychologist of any medical condition that may make direct animal contact unsuitable.

Animal-Assisted Psychological Services

Where animals are intentionally incorporated into psychological treatment, their involvement is used to support, rather than replace, evidence-based psychological assessment or intervention.

​

The treating psychologist remains responsible for all clinical assessment, formulation, treatment decisions and professional services.

Animal involvement may be used where clinically appropriate to support areas such as engagement, emotional regulation, communication, therapeutic rapport, behavioural observation or therapeutic activities.

 

The involvement of an animal does not guarantee a particular therapeutic outcome.

Incidents Involving Animals

 

Any injury, allergic reaction or other significant incident involving an animal at the practice should be reported to the treating psychologist or practice staff as soon as possible.

 

Sisu & Sage Psychology will respond to animal-related incidents in accordance with applicable first-aid, safety, incident-management and legal requirements.

 

Assistance Animals

Sisu & Sage Psychology recognises that an appropriately trained assistance animal may have legal access rights that are distinct from arrangements relating to companion animals or animals used by the practice.

Clients who use an assistance animal are encouraged to contact the practice before their first appointment so that appropriate arrangements can be made.

​

Client Animals and Pets

Clients should not bring pets or companion animals to the practice without prior agreement.

​

This does not apply in the same way to a person accompanied by an assistance animal with applicable access rights.

​
